How to switch from Skool to Heartbeat

Members, subscriptions, classroom and progress, step by step. A typical import takes under 15 minutes.

You can move everything that matters: your member list, your paying members’ subscriptions, your classroom and your members’ course progress. The one thing to plan for is payments. Skool runs each group’s payments through a Stripe account it manages for you, so you’ll need Skool support’s help to get your subscription data out. Ask early.

Many groups use the move to consolidate. Skool needs a separate group for each paid offer, while one Heartbeat community can sell several offers, so two or three Skool groups can become one community.

Before you start

Step by step

  1. Create your Heartbeat community

    Start building, then connect payments, which sets up the Heartbeat Stripe account your members will move into. Leave Skool running while you set up. Nothing on this page changes anything there until you cancel.

  2. Export your members from Skool

    In your group, open Members and use Export. The CSV includes each member’s email address. Skool added email export for paid groups in June 2024 (Skool’s announcement).

  3. Rebuild your classroom with Pulse

    Gather your lesson text, slides and files, hand them to Pulse, and ask it to build the course. Upload your videos or embed them from where they’re hosted (video embeds). If several Skool groups are becoming one community, give each one its own offer and gate its content to that offer.

  4. Move your paying members

    With the subscription CSV from Skool support, run the subscription importer. Choose Other as the platform and type Skool.

    1. Platform and data. Go to Settings > Import Subscriptions and press + New Migration. Pick the platform you are leaving (or Other, and type its name), then upload your subscription CSV.
    2. Column mapping. Match the columns in your file to Heartbeat’s fields. Check the preview for duplicate entries.
    3. Offer mapping. Match each old product or price to a Heartbeat offer. If an offer doesn’t exist yet, Pulse can create it for you here.
    4. Customer copy. Copy your members’ saved payment details to your Heartbeat Stripe account. In the old Stripe account, go to Customers > Copy and paste the Heartbeat account ID the importer gives you, then accept the request in your Heartbeat Stripe dashboard. Copy only current subscribers or your whole customer list.
    5. Review and migrate. Check every member, offer and next billing date, then run the migration. Each member is billed the price you mapped them to, starting on the date they would have renewed.

  5. Cancel the old subscriptions

    The importer doesn’t touch your old platform, so cancel the original subscriptions yourself. It gives you a CSV of exactly which ones to cancel, and it flags anyone who renews in the next 72 hours so you can cancel those first. Then tick the box confirming you have canceled them. This is what stops anyone being charged twice.

  6. Bring over course progress

    If you can export progress from Skool, send it to our support team with your course structure. We import it so each member’s completed lessons carry over.

  7. Invite your members

    Send invites when the community is ready, not before. The importer’s last screen invites your paying members for you, and the rest come from your exported list. Tell them why you moved and when the Skool group closes. How invitations work.

Can I move my paying Skool members without them re-subscribing?

Yes, with Skool support’s help. Skool manages the Stripe account your payments run through, so Skool has to export your subscriptions and copy your customers’ payment data to your Heartbeat Stripe account. After that, the importer moves each subscription with its renewal date.

I run more than one Skool group. Do I need more than one Heartbeat community?

Usually not. One Heartbeat community can sell several offers and gate courses, channels and events to each one, so separate Skool groups can become offers inside one community.

Will my members be charged twice?

Not if you cancel the old subscriptions after the import. The importer lists exactly which ones to cancel, flags anyone renewing within 72 hours, and asks you to confirm the cancellations before you invite members.

How long does the switch take?

Moving your paying members is the quick part. The typical import takes under 15 minutes, from uploading your file to running the migration. Before that, allow time for Skool support to send your subscription data, so ask them first. Rebuilding your classroom takes longer the more lessons and videos you have.

Does Heartbeat charge for the migration?

No. The subscription importer and migration support are free on every plan. On the Scale plan, a dedicated onboarding rep runs the whole migration with you.
